GENERAL TRAVEL TERMS & CONDITIONS
1. Booking
A booking is only considered valid after mutual confirmation in writing.
2. Name list
A list of participants with the full names and dates of birth of the participants as well as the driver and tour guide including the room and cabin distribution must be received by us four weeks before the start of the tour. When travelling with night ferries, we also need the passport or ID card numbers of all participants.
3. Payment
The invoice amount must be received by us at least 14 days before the start of the tour. Only then will the travel documents be sent.
4. Free places
NORDIC TOURS provide a free place in a single room for all catalogue tours to Scandinavia and the Baltic States from min. 15 paying participants and an additional free place from 35 paying participants.
For tours to Germany, Holland, Iceland, Ireland and Great Britain the first free place is from min. 20 paying participants and the additional free place is from 40 paying participants.
Please note that there can be other deviations for certain tours, but it will be mentioned in our offer.
If no single rooms are booked, free places are allocated in the double room / double inside cabin.
5. Cancelation
The full group can be cancelled free of charge up to 31 days before tour start (or on the working day before) unless otherwise stated in our confirmation. In the event of later cancellation, NORDIC TOURS reserves the right to charge all costs incurred by the service partners up to the full travel price.
Foer tours with night passages onboard HURTIGRUTEN / HAVILA, the cancellation period is 120 days.
The following conditions apply to the cancellation of individuals: From 30 until the 22nd day before tour start 25% cancellation fees apply. From the 21st day up to the 15th day before tour start 50% cancellation fees apply. From 14th day to 04th day before tour start 75% cancellation fees apply. From 03rd until tour start 100% cancellation fees apply.
6. Service
The range of the contractual services results from the respective service description. The prices listed in our offers apply to groups from 20 paying participants. All rooms are equipped with shower / bath and toilet. Half board consist of a breakfast buffet and dinner (3-course menu or buffet). For possible ferry passages, a coach length of 13 m is calculated, and a corresponding coach space is reserved. Unless the processing of such services is expressly stated in the respective offer, toll, road and bridge fees are not included in our offers. Ferry crossings that are part of a catalogue tour are not included in the price and service package unless they are listed as included services in the catalogue. This applies in particular to certain domestic ferry crossings that are payable on site. In principle, flights are not included in our service packages. In some hotels, the combi-rooms common in Scandinavia are allocated as double rooms. The single surcharge generally only refers to the single room occupancy in the hotels. Single cabins are offered and booked on request. Children up to 12 years receive a 50% discount (or persons over 12 a 10% discount) on the basic price (per person / accommodation in a double room) for accommodation in an extra bed in a double room and in a 3-berth cabin together with two full-paying guests.
7. Hurtigruten
Starting in January 2021, Havila Kystruten will be the new provider of postal ships on the traditional sea voyage between Bergen and Kirkenes. Depending on the desired date, either ships from Hurtigruten or Havila will be confirmed.
8. Other
NORDIC TOURS is not liable in for unexpected events or Force Majeure of hotel information in brochures or online. Our partner is responsible for following rules and regulations on driver hours, passports, customs weight regulations accident insurance, the use of safety belts etc. We reserve the right to correct print errors and price changes like oil surcharges, tax and currency increases. We also reserve the right to change to similar hotels. The invalidity of individual provisions does not invalidate the entire travel contract.
