Groups

Prices are net to NORDIC TOURS A/S.

All rooms are with private facilities unless otherwise stated. All rooms are standard rooms, unless otherwise stated. Twin rooms are on request and might require a surcharge. NORDIC TOURS does not sell half double rooms or half double cabins. Single guests will be given single rooms and single cabins with a surcharge added. Half board consists – in addition to breakfast – of dinner consisting of a 3-course menu or a buffet unless otherwise stated. Breakfast and dinner will be served in the timeframes stated by the individual hotels and restaurants. If there are requests to eat outside of these timeframes, they must be enquired well in advance of departure and may include a surcharge. Many hotels in Scandinavia no longer have daily cleaning of rooms for environmental reasons. You can often request an extra “light” cleaning by contacting the reception the day before, sometimes for a fee.

A bus with a maximum length of 14 m is included as standard on all mentioned crossings unless otherwise stated in the price section. Be aware that many crossings will have to be paid for with an AutoPass tag. It is always the responsibility of the client to check whether the rules for bus length and axle load comply with the rules of the chosen route.

The quoted price is calculated on the basis of 20 paying participants unless otherwise stated. If the group has fewer participants than the stated amount, NORDIC TOURS reserves the right to charge additional costs for guided tours, loss of free places with the suppliers and cancellation of or supplement for half board. Potential road tolls, ferry crossings, entrances, beverages and luggage services not specifically stated in the offered services are not included in the price.

If the group travel includes (overnight) ferry crossings, please note that these bookings are only confirmed very late by the suppliers. Therefore, our offer and confirmation are subject to a final confirmation including any cabin or seat allocation.

We reserve the right to alter prices and impose extra charges to compensate for changes of hotels, trains and/or ferries, increases in fuel costs, energy prices or oil surcharges, fluctuations in exchange rates, tourism taxes or other extraordinary price increases and extra charges derived from regulations of VAT or tax rates.

If no single rooms or cabins have been sold, free places will be given in double rooms and double cabins.

The rooming list must always contain the allocation of rooms and cabins as well as the date of birth and nationality of all guests – including the driver and tour guide if they are travelling with the group. Some international ferry companies also require the passengers’ passport numbers together with the cabin list.

It is expected that travelers comply with all applicable entry rules and bring a passport or other valid identification. Digital ID is not permitted.

Any requests, special dietary needs, disabilities or likewise must be stated in the rooming list in order to be properly communicated to the suppliers. We do not guarantee that we can accommodate all requests. If special requests are only reported on site, additional costs may apply.

We would like to draw attention to the fact that many Scandinavian hotels, ferries, restaurants, and attractions are cash free. We therefore ask you, well in advance of the trip, to encourage your guests to obtain an international credit card.

NORDIC TOURS is not liable for program changes due to force majeure. By force majeure, we mean incidents beyond the control of NORDIC TOURS which we could not have foreseen when the contract was entered into or at the latest before departure, and which we cannot be expected to manage and avert the effect of.

NORDIC TOURS reserves the right to act on behalf of the client in the event of an emergency where immediate action is required to ensure further completion of the trip. Additional costs incurred in this regard will be billed to the client.

When cancelling individuals in a group, the following fees generally apply:

From the cancellation deadline of the group to 22 days before the start of the trip: 25%

21 to 15 days before the start of the trip: 50%

14 to 4 days before the start of the trip: 75%

From the 3rd day: 95%

However, some suppliers may have different cancellation conditions.

Written cancellations must be received before 16:00 on weekdays in order to be applicable to the deadlines.

Cancellations received on the emergency telephone must be confirmed in writing and only apply from the following working day.

TOURS INCLUDING ACTIVITIES:
Activities are always at the guests’ own risk, and we therefore recommend all guests to check their travel insurance before departure.

TOURS INCLUDING FJORDLINE / GO NORDIC CRUISELINE:
Due to security measures in Norway, all entrants must be registered with nationality, date of birth and an ID number. As a basis for an ID number, the following is required:

Citizen of a Nordic country:
Passport number or driver’s license (we recommend passport number)

Citizen of another Schengen country:
Passport number or national ID number

Non-Schengen citizen:
Passport number

This information must be received and registered by NORDIC TOURS before the guest leaves his or hers home country.

Digital ID is not permitted.

TOURS INCLUDING FJORDTOURS SERVICES:
For journeys that include services provided by Fjordtours in Norway, NORDIC TOURS reserves the right to charge a non-refundable deposit.

TOURS INCLUDING HURTIGRUTEN / HAVILA VOYAGES:
In the event of cancellation of individual guests three months or later before departure on board the Hurtigruten or Havila coastal steamer, we reserve the right to charge a 95% cancellation fee for this part of the travel package.

Hurtigruten reserves the right to take back all unsold capacity at any time. Fee for name changes less than 3 months before departure is 40 EUR per person.

TOURS INCLUDING SMYRIL LINE:
Smyril Line is entitled to a sales status five months before departure and reserves the right to cancel the entire group if sales are less than 15 named passengers. The fee per person for a name change less than three months before departure is 30 EUR.

TOURS INCLUDING SVALBARD:
Because of the special arctic weather conditions, the suppliers on Svalbard reserve the right to change the agreed program along the way. The aim is to find good solutions within the framework of the event price.

The client must be prepared to pay any additional costs in this regard.

TOURS INCLUDING TRAIN RIDES:
If the tour includes a train ride, NORDIC TOURS reserves the right to charge a non-refundable deposit.

Train tickets can only be confirmed from 3 months prior to the group’s train travel. Therefore, our offer and confirmation are subject to a final confirmation.

Train reservations are subject to cancellations or “bus for train” solution due to track work, especially during summertime. This is due to the special weather conditions in Scandinavia which make the season for possible repairs very short.

Trains may be suspended due to reasons beyond the control of Nordic Tours – such as extraordinary weather conditions or natural disasters, unforeseen problems with the route, public orders and prohibitions, strikes and lockouts etc. In these instances, compensation cannot be claimed. In case of track works or an unplanned disruption, there might be rail replacement services instead of a train. A different timetable may be in use when rail replacement services are utilized and journeys may take longer than usual. Onboard services such as catering might not be available on replacement services.

TOURS INCLUDING GREAT BRITAIN:
Preferred seating times for breakfasts and dinners must be stated along with the rooming list.

WINTER TOURS:
Generally, there are no free places on winter activities.

Winter activities and special services such as overnight stays in ice and glass igloos, which are booked as supplement to the basic package, can often only be booked against a deposit which is charged as an administration fee upon cancellation.

The capacity for winter activities may be limited. Groups can be split up. It is not possible to hold free options and confirmed seats that are not used will not be refunded. Activity suppliers reserve the right to cancel activities at any time if weather conditions or other questions regarding safety make it necessary to cancel the activity.

Snowmobiles may only be driven by people over 18 years of age and with a valid driver’s license for a motorcycle or a car. The driver’s license must be brought during the activity. The driver of a snowmobile is held responsible for all damage to the vehicle. The deductible can often be reduced by purchasing insurance on the spot. Snowmobiling and dogsled riding are not recommended for pregnant women and those with back problems. Most dogsled safaris require active participation of guests: One person sits on the sled and the other controls the sled. Only in a few cases can both guests sit on the sled and be driven by a professional driver.

Activities are always at the guests’ own risk, and we therefore recommend all guests to check their travel insurance before departure.

A car with a maximum length of 5 m is included as standard on all mentioned crossings unless otherwise stated in the price section. Be aware that many crossings will have to be paid for via AutoPass. We recommend guests to register their car at www.autopass.no before departure.

Potential road tolls, ferry crossings, entrances, beverages and luggage services not specifically stated in the offered services are not included in the price.
